Inventory

An inventory is a document which lists not only the content of a property but the gives a full description of the interior and its contents including their condition. Once signed by the tenant it is a legally binding document which shows that the tenant accepts the content, plight and condition of the property on the date of signature. However it is only effective if it is both detailed and accurate.

Check In

This is an inspection of the property compared against the inventory to ensure that any differences are noted before the tenant signs the inventory. We also agree with the tenan (or their agent) meter readings, check gas and electricity safety certificates and the number of keys handed over. At our discretion we will also advise tenants how they should leave the property at the end of the tenancy.

Check Out

Using the signed copy of the inventory and check in notes (if not already up-dated onto the inventory) the clerk will note any variations on a Check-Out report. They will look for damages, cleanliness, missing items or will note items left at the property which did not appear on the inventory (which could be costly for the landlord to dispose of).

Most claims will arise based on the Check-out report. These reports hold more weight should a dispute arise when it has been compiled by an independent party.

An independent inventory clerk is better placed to advise on Fair Wear and Tear (FWD) on your property. The law does not allow for “betterment”, which means that an old item does not have to be replaced with a new one. Therefore a tenant will only be expected to pay a proportion of the cost on a like for like replacement.

Fair wear and tear on your property is calculated by the condition noted in the inventory at the start of the tenancy, the age of the property in question, and the soiling or damage to the property in question.

Interim

This is usually carried out on a quarterly basis. A clerk will give the property a quick inspection.


Updates

As the name suggests, this is a cheaper and more efficient way of keeping your inventories up to date. With the exception of properties that have changed to a great extent, usually because of re-decoration, we can update your inventory usually at Check in/out to ensure it is consistently accurate. Ark Inventories will only carry out updates on inventories prepared by them
